Vice President Member Services
The Vice President Member Services, an officer position, coordinates several committees’ planning and programming of activities for the development and education of our members. This position oversees most of the activities that form what members and guests experience as HRP-MN.
Duties
- Manages and coordinates the activities of the following committees:
- Programs
- Professional Development (two mini-conferences per year)
- Philanthropy (two events per year)
- Reservations/Facilities
- Works with Programs Committee to assess member needs through the use of responses on monthly program and biannual mini-conference evaluation forms.
- Reviews contracts with meeting vendors, e.g., D’Amico Catering, and submits to President for signature.
- Maintains budget records and provides budget requests to Vice President Finance for all reporting committees for next fiscal year.
- Presents prior month’s Event Expense & Revenue Reports and Evaluation Summaries at monthly Board meetings.
Calendar
- Communicates monthly, at the minimum, with committee chairs for updates on all activities.
- Coordinates the details of the committee chairs to eliminate duplication and considers appropriateness of plans.
- In cooperation with the Vice President Pubic Relations, publishes and updates monthly Calendar of Events for HRP-MN Board meeting flyers, for Update, and for the web site.
- Annually: Holds at least two meetings annually of all committee chairs to review events, plan, and coordinate teamwork within the functional areas.
Committee Interface
- President: Communicates monthly regarding all revenue-related, budgetary, and contractual matters.
- Vice President—Finance: Approves invoices for monthly program meeting costs, mini-conferences, and philanthropy events before they are submitted to the VP—Finance and association management firm for payment.
- Board: Attends all monthly Board meetings.
- Vice President Public Relations and Public Relations Committee Chairs: Assures that communication between Programs Committee Chair and Communications Committee Chair exists to better publicize HRP-MN events in external publications.
- Vice President Membership: Assures that Reservations/Facilities orders a membership table for the registration area of all HRP-MN functions and events so that Membership can provide applications and other information to potential new members.
Special Information
It is important that one has at least two years’ prior experience in Member Services committees within HRP-MN before taking on this role.
