Secretary

The Secretary, an officer position, is responsible for providing methods of communications among the Board members.

Duties
 

  • Takes meeting minutes at each Board meeting
  • Emails out the previous month’s meeting minutes with a notice for the upcoming meeting, within two weeks following each Board meeting
  • Includes in Board meeting minutes announcements:
      • Date and location for the next Board meeting
      • Directions and map to the next meeting
      • Any material that is required to be read before the next meeting and Update deadline
      • Other material provided by President or other Board members
  • Distributes Board rosters to all Board members and to Update Co-Editors for the last page of the newsletter. Updates this document throughout the year.

 

Calendar

  • Manages duties on a regular basis.
  • Attends all Board meetings and when unable to attend, recruits another Board member to take minutes.

 

Committee Interface

  • Contacts Board members after meetings to clarify issues discussed for minutes.
  • Works closely with President and association management regarding Board roster.

 

Special Information

  • If unable to attend a meeting, it is the Secretary’s responsibility to find a temporary replacement Secretary.
