Association Management

Duties

  • Provide phone support for prospective members and persons responding to press releases who wish to attend a future meeting.

 

  • Sends membership applications to prospective members, sends, copies to Vice President-Membership
  • Refers callers to other board members, as directed.

 

  • The following bulk mailings have been contracted for:
      • Monthly UPDATE
      • Professional Development seminar announcements
      • HRP membership directory (September)
      • Board Election Ballots (June)
      • Annual Membership Dues Statements (June)

 

Preparation of other bulk mailings is done by HRP members or Board, in advance of delivery to Permit Acceptable Unit, St. Paul. Follow the General Rules for Bulk Mailing” in section 18, VP Communications

  • Database: maintains membership and prospective member rosters; designs information materials.

 

  • Financial reporting: Assists with receivable, payables, and invoicing; provides monthly financial report to Board as directed by Treasurer.
  • Records storage: Provides space for board meeting minutes, meeting attendance records, UPDATE archives, seminar records, and other historical data.

 

Any Additional Duties Must be Approved by the President-Elect.

Note:             To meet budget goals, it is recommended that board members notify HRP members of upcoming events by inserting flyer into the UPDATE instead of bulk mailings. When preparing resources of office staff, causal labor (e.g., students, retires, etc.), or other temporary clerical help.
