Management Agreement

 

Below is a listing of services to be performed under an annual rate contract with the Client.  Under the terms this annual rate agreement, ____ agrees to manage the following responsibility areas with in a professional manner at a level considered to be industry standard.  Given the variable nature of some of the task areas listed below, certain task areas are clarified with an outline of the service level expected.  For example “staffing finance committee” might be clarified with (monthly meetings). 

General Administration

  1. Answer phones
  2. Maintenance of organization files and archives
  3. Open/Distribute office mail, faxes and e-mail
  4. Provide/set-up board or committee meeting space

Board Management

  1. Board meeting staffing (monthly meetings & occasional special meetings)
  2. General consultation and assistance
  3. Financial report presentation
  4. Monitoring state required filings
  5. Manage nominations logistics (ballot, distribution, tally…)

Finance

  1. Accounts payable (volunteers are check signers – monthly check runs)
  2. Accounts receivable
  3. Account reconciliation
  4. CC processing (Additional transaction fee applies for ____ merchant account)
  5. Deposits
  6. Financial statement production (monthly reports and occasional special reports)
  7. Invoicing/Collections
  8. Special request financial analysis (Occasional)

Database management

  1. Data maintenance
  2. Data mining (Monthly standard reports with occasional special requests)
  3. Membership campaign assistance
  4. Member information updates
  5. New member processing
  6. Prospective member maintenance
  7. Monthly status reports
  8. Weekly status reports

 

 

Programs – Support below for 10 Monthly Meetings,1 single day conference & registration only for holiday event

  1. Evaluation forms
  2. Name badges
  3. Program reconciliation
  4. Promotion assistance
  5. Receipts
  6. Pre-registration coordination (onsite registration performed by volunteers)
  7. Rosters
  8. Support of the planning committee (monthly meetings)
  9. Maintain calendar of events

Communications

  1. Communication consultation
  2. Editing/Proofing (on materials produced by NS)
  3. Email design/distribution (2 program & 1 newsletter per month)
  4. Flyer/Brochure design/distribution (Mini Conference Only)
  5. Mailing coordination
  6. Newsletter distribution
  7. Newsletter advertising coordination
  8. Newsletter advertising invoicing

Technology

  1. Broadcast emails (through pro-bono HRP-MN Exact Target Account)
  2. Web site content maintenance
  3. General website support (does not include site redesign)
  4. Online CC processing (bank fees apply)
  5. Sponsorship Tracking
  6. Sponsorship Invoicing

 

It is the intention of NS to provide a complete support service to the client in the service areas outlined above; with services meeting or exceeding client expectations for support.  However, it is understood that occasionally different expectations might exist between what NS considers reasonable support under the terms of this contract and what the Client considers reasonable support under the terms of the contract.  ____ will notify the Client in the event that service requests are exceeding____’ understanding of reasonable support.

It is understood that changes to the client’s activities (new programs, expansions of services to members . . .) that require substantial additional support from ____ will require an adjustment to the monthly rate or the application of “special hourly project” hours.  These circumstances will be discussed with the Client when they occur.
